Work Package 7: Project Management


Description: Steering committee within the project will be established with one representative from each partner institution of the project. Financial issues of the project will be managed by the grant-holder institution and all decisions of the project will be made in open and democratic discussions amongst partners. The consortium, as a group, will plan and define progress through a decision making process based on regular contact (via meetings, tele-conferences, e-mails, skype, phone).
A first grand coordination and project meeting in Greece with all project partners including all European partners. This action will serve for introduction of all project experts and professors, first dissemination event of the project, coordination of all planned actions for the 1st year. 
Project Management Group will be established with one representative from each partner institution. All decisions of the project will be made at the project management board's coordination meetings that will be planned twice a year. Besides this, in case of urgent conflict resolution, the steering committee will govern (online) the case aiming to reach consensus. In case consensus is not reached, a majority vote approach will be adopted. 
For each work-package one university from program and one from partner country will have a lead role to coordinate all actions.


Tasks:

7.1. Management by grand Holder and national coordinator. Coordination of inter-university activities and providing effective participation of all staff engaged in the project activities. Contacting and reporting to EACEA (progress reports, final report, financial reports). Revision of work plan and budget if required. Financial management of the project and managing the overheads expenditure. Monitoring activities of local management team.

7.2. Project reports. Project Management Guidelines will be developed, describe the project management and organisation structure defining roles and assigning responsibilities to the involved partner institutions. It will also describe the mechanism and procedures of project work organization and will provide the necessary documents and templates. Project Periodic Reports according to the reporting guidelines, which will then be submitted to the European Commission by the Coordinator on time. Deliverable reports will be assembled by the WP Leads with the assistance of AndMI and the compiled report reviewed by the Project Coordinator. These deliverables will be reported in detail during meetings in MechaUz.

7.3. Final report elaboration. The final report and financial statements will be structured and delivered according to the EACEA Erasmus+ program reporting rules. Moreover, the outcomes of the project meetings held in the second half of the project will be also reported and accompany the Final Report.
